Consolidated Database of Major Equipment

(IIEC Database)

Introduction

The consolidated database of major equipment is compiled by the Inter-Institutional Equipment Committee (IIEC) as a means of promoting inter-institutional sharing use of equipment. The database embraces major academic and administrative equipment, costing more than $500,000 each, held by the eight UGC-funded institutions, i.e. the City University of Hong Kong (CityU), the Hong Kong Baptist University (HKBU), the Lingnan University (LU), the Chinese University of Hong Kong (CUHK), the Hong Kong Institute of Education (HKIED), the Hong Kong Polytechnic University (PolyU), the Hong Kong University of Science and Technology (HKUST) and the University of Hong Kong (HKU).

For each item of equipment, the IIEC Database includes 20 searchable fields, photos of the equipment, specifications and informational brochures where these are provided by their respective institutions. In particular, it is anticipated that searchable multi-disciplines should stimulate users and potential users to investigate inter-disciplinary uses in several areas of applications.

 

A colleague in a sister institution who wishes to use a piece of major equipment available in one  of the sister institution should submit a request to use the equipment in accordance with the following procedures:

(a) check the consolidated database to see if such equipment is available in any institutions;

(b) contact the person in charge of the equipment, whose name and telephone number appears on the consolidated list, to ascertain whether the equipment can be made available for use. The system allows web-based contact to the person in charge, who may also respond through the system;

(c) if the equipment is available for use, fill in the Request for Equipment Use Form;

(d) the Form should be endorsed by the user's Head of Department, and forwarded to the person in charge of the equipment in the sister institution;

(e) the terms and conditions of use shall be agreed between the user and the person in charge, e.g. period of use, charges for consumables, insurance coverage, etc.;

(f) if the equipment is not immediately available, the user may also fill in the register form and send it to the sister institution to register his interest for the use of the equipment.
